Planning and Logistics Officer
The main purpose of the job is to support the Music Director and Artistic Planning Manager (APM) to plan concerts and projects for future seasons and be part of the delivery team for concerts and events.
Planning
• Liaising with venues: booking dates for rehearsals and concerts and, under the direction of the APM, negotiating the financial terms and contractual arrangements
• Liaising with agents: once fees have been negotiated, drawing up contracts for guest artists and checking invoices
• Liaising with guest artists and the OPO’s concert management team to ensure that all requirements are met eg. rehearsal timings, string strengths
• Liaising with Music Director regarding rehearsal times and string strengths
• Liaising with multimedia producer and marketing administrator – providing information for concert programmes, brochures and OPO website
• Managing the venues, festivals, and events sections of the office database to ensure that all new dates are added, and all the relevant information is up to date
• Liaising with the Orchestral Personnel Manager regarding all future dates to ensure they have the correct information to engage the players
• Library: liaise with the OPO librarian to make sure they order the correct music for each project
• PRS: complete and return PRS information
• Place orders for office supplies
Concerts
• Attend 80% of concerts – half as substitute for Orchestra Personnel Manager and half substituting for Concerts Officer
• Alongside concerts team, preparing lights, music stands, stage boxes and loading and unloading van
Orchestra
• Sending schedules and statements to musicians
• Attending some rehearsal days (usually London) as the point of contact for orchestral musicians
Plus, any other administration tasks commensurate with job role.
Salary from £26,000 depending on experience.
